Invoice Share: Email & WhatsApp With Your Company’s SMTP and Meta WhatsApp Cloud

Send the same portrait PDF your buyers expect—straight from the invoice screen. Connect your own Gmail-friendly SMTP mailbox and optional WhatsApp Cloud API in Invoice share settings, then share with one or more recipients and optional notes.

After you validate and submit through FBR API integration, buyers still expect a clear copy of the invoice in their inbox or on WhatsApp. Wise Digital Invoice adds Invoice share: you configure delivery once at the company level, then use a Share control on each invoice to send a PDF attachment that follows your chosen print template—the same layout family as Print invoice and Export PDF, not a simplified alternative.

Invoice share settings

Company owners and others with permission to manage company settings will see Invoice share settings under the company menu. There you can optionally set up:

  • Email (SMTP)—host, port, encryption (including TLS/SSL), username, and password. Typical setups include Gmail with an app password so you do not disable account-wide security.
  • From name and from address—what recipients see as the sender for shared invoices.
  • WhatsApp (Meta Cloud API)—phone number ID, access token, and related fields so the app can send the PDF as a document where your WhatsApp Business channel allows it.

Sensitive fields are stored appropriately for a production app; you do not paste credentials into each invoice by hand.

Sharing from the invoice screen

On an invoice you can open Share and choose Email and/or WhatsApp depending on what is configured. If neither channel is set up, the product prompts you to open Invoice share settings (with a direct link when your role allows it).

For email you can add or remove recipients, optionally adjust the subject, add short notes that are appended to the standard message, and send. The PDF uses your account's template resolution rules (company default and optional buyer override) so the file matches what you already use for print and download.

Buyer profiles can store an optional email address so the share dialog can pre-fill a recipient when that data is present.

WhatsApp realities

WhatsApp Cloud API messaging follows Meta's rules: outbound documents often require the customer to have recently messaged your business, or you must use approved templates. Plan your buyer communication flow accordingly; the product sends the document and caption you configure, but carrier policy still applies.
